Location Tracking Policy

We respect the right to privacy of every user.

We have clear and transparent policies for location tracking in our Expense Management Software.

 

We don’t track the location of all employees; it is only meant for employees working in the field or those who are on continuous travel, such as sales personnel.

Before installing the Expense Management Software app, the user (employee) has an agreement with their employer that the company will track their location during office hours. Only such users can install the app, as it would otherwise serve no purpose. Furthermore, it is entirely at the company’s discretion to enable or disable location tracking for any user. Any such change is immediately notified to the user, and as mentioned below, the user can continuously monitor the tracking status within the app.

After installing the Expense Management Software app, it will only fetch the employee’s location during working hours. Before fetching the location, the app will display a clear popup indicating that their location will be tracked, and only after user confirmation will location tracking begin. If any employee declines this confirmation, their location will not be tracked.

Please note that the app tracks the user’s location in the background, even when the app is closed or not running. However, users can disable location tracking anytime by logging out from the app.

The application will track the location for the following purposes:

  1. Marking attendance using GEO-Tagging.
  2. Tracking the user’s visits to various customers (for sales and field staff only).
  3. Using data from location history to calculate employee travel allowances and other benefits.

Special Note: The location is not tracked for all users; it is only tracked for those users where it is enabled by the system admin, in accordance with the contract with the employer. Using the Expense Management Software app indicates agreement to these terms and conditions.

How to know your location is being tracked:

  • On App: Whenever the user opens the app, a notification is displayed that their location is being tracked by the admin.
  • On Web Dashboard: A continuous notification is displayed on the employee dashboard whenever location tracking is enabled for a particular user.
